We are seeking a detail-oriented PART TIME Front Office & Sales Assistant. We are looking for an individual looking for a LONG TERM Part Time position.
Job Description:
We are seeking a reliable and organized Front Office Assistant to join our team. The ideal candidate will be the first point of contact for our customers, providing exceptional service while performing various administrative duties to support our staff. This is an excellent opportunity for individuals who enjoy a dynamic work environment. This role will report to our office manager and support our sales, production and operations teams.
Job Responsibilities:
Customer Engagement:
- Greet customers warmly and assist them with inquiries.
- Answer and route phone calls professionally, ensuring clear communication.
Scheduling and Estimates:
- Obtain customer information for arranging estimates efficiently.
- Schedule job estimates and signings for the Sales and Repair Manager.
- Pull measurement reports and visit customer home sites with the lead sales executive to gather accurate information for estimates.
- Prepare job estimates templates and documentation for homeowners and insurance companies
Data Management:
- Maintain CRM and update call logs, customer databases, and spreadsheets.
- Follow up on customer estimates via phone and email to help close deals.
- Daily follow-up on insurance matters to facilitate the estimation process.
- Obtain permits when needed to ensure compliance with regulations.
Account Receivable Duties:
- Complete job cost and invoices templates for readiness after job completion.
- Track job completions and managing the tracking of invoices and payments.
- Follow up on outstanding customer invoices estimates to ensure timely resolution.
Clerical Support:
- Assist with implementation of new CRM system
- Perform general clerical duties such as printing, faxing, and typing as needed.
- Assist staff members with various administrative tasks, contributing to team efficiency.
Qualifications:
- Industry Experience: 1+ years with a construction company preferred
- Strong Communication Skills: Both verbal and written.
- Self-Starter: Must be able to work independently and demonstrate reliability.
- Computer Skills: Proficient in Excel, Word, Outlook, etc.
- Problem Solver: Ability to identify problems and propose solutions.
- Time Management: Strong organizational skills with the ability to prioritize tasks effectively.
- Physical Ability: Capable of lifting and carrying up to 60 lbs.
- Punctuality: Timely, punctual, willing to start early and work Saturdays when needed.
Schedule and Compensation:
This is part-time position Monday & Wednesday 7:30 to 12:30 / Tuesday, Thursday, & Fridays 10am to 4pm
Compensation based on experience: $16 to $19 per hour.
