We are seeking a detail-oriented PART TIME Office & Sales Assistant to support our sales team in preparing and executing retail and insurance project estimates.
Job Description:
We are seeking a reliable and organized Front Office & Sales Assistant to join our team. The ideal candidate will be the first point of contact for our customers, providing exceptional service while performing various administrative duties to support our staff. This is an excellent opportunity for individuals who enjoy a dynamic work environment. This role will report to our office manager and has potential for additional hours int the future.
Job Responsibilities:
Customer Engagement:
- Greet customers warmly and assist them with inquiries.
- Answer and route phone calls professionally, ensuring clear communication.
Scheduling and Estimates:
- Obtain customer information for arranging estimates efficiently.
- Schedule job signings for the Sales and Repair Manager.
Data Management:
- Maintain and update call logs, customer databases, and spreadsheets.
- Follow up on customer estimates via phone and email to help with closing deals.
- Daily follow-up on insurance matters to facilitate the estimation process.
- Obtain permits when needed to ensure compliance with regulations.
Account Receivable Duties:
- Track job completions and managing the tracking of invoices and payments.
- Follow up on outstanding customer invoices estimates to ensure timely resolution.
Clerical Support:
- Perform general clerical duties such as printing, faxing, and typing as needed.
Team Support:
- Assist staff members with various administrative tasks, contributing to team efficiency.
Qualifications:
- Strong communication skills, both verbal and written.
- Excellent organizational skills with attention to detail.
- Proficient in Microsoft Office Suite (Word, Excel, etc.).
- Ability to multitask and prioritize tasks effectively.
- Previous experience in an administrative role is a plus but not required.
- Ideal candidate has experience working in a office setting, preferably construction and previously with a CRM
Schedule and Compensation:
This is part-time position available – Monday, Wednesday, & some Fridays 7:30am to 11am, Tuesday & Thursday – 1 to 5
Compensation based on experience: $17 per hour
